What Does Lab Inventory Include?

Laboratory inventory management covers three major resource categories:

  1. Measuring and testing equipment — requires Asset Register, Calibration Schedule, and Maintenance Log
  2. Chemicals and reagents — requires Lot Number tracking, expiry dates, remaining quantities, and SDS management
  3. Consumables — filter paper, pipette tips, gloves, syringes, etc. that need to be reordered before they run out

Problems Caused by No Inventory System

  • Expired reagents — Using expired reagents unknowingly, affecting result accuracy
  • Mid-shift stockouts — Consumables run out unexpectedly, forcing work to stop
  • Duplicate purchases — Not knowing current stock levels leads to over-ordering
  • Lost Lot traceability — Can't trace back to the reagent Lot used in a job when a problem arises

How a Good Lab Inventory System Works

Reagent Lot Tracking

Records every incoming chemical lot — Lot Number, manufacture date, expiry date, supplier, and quantity received. Alerts fire when reagents approach expiry (configurable at 30/60/90 days).

Usage Tracking

Records each usage event with the associated job, enabling traceability when problems occur and calculating consumption rates for forward ordering.

Low Stock Alerts

Set minimum stock levels per item; the system automatically alerts when stock falls below the configured threshold.
